Tall Roots is a boutique executive recruitment business that launched in January 2022 with a mission to improve social mobility in leadership. We are looking for a new Executive Assistant & Project Coordinator. This is a broad remit, and one for you to help shape and make your own. The primary purpose of the role is to support Tall Roots’ Founder with all areas of client and candidate management and smooth running of recruitment campaigns.
The ideal candidate will be an experienced Executive Assistant who is keen to take on a wider remit and gain increased client-facing exposure and autonomy. You will already be used to liaising directly with customers, ideally in a professional services setting, with exceptional written and verbal communication skills and attention to detail, as well as an enthusiasm to learn. Ultimately, we’re just as interested in your potential as we are in past experiences – you will get all the training that you need in the areas you are less familiar with. As such, we welcome applicants from all backgrounds.
This is a home-based role, although some occasional travel to London for in-person meetings may be required.
Key Responsibilities
- Provides support to the Founder with organisation, scheduling, correspondence and meetings.
- Serve as the primary point of contact for candidates, addressing inquiries related to the process and role, and coordinating follow-up screening calls with the relevant fee earner(s).
- Assist in review of new business proposals, client reports and briefing documents to uphold the highest standards of quality.
- Liaise directly with clients to coordinate diaries for key campaign events and make necessary travel arrangements for meetings.
- Participate in client meetings alongside fee earners, actively contributing to presentations, pitches, and role briefings as needed.
- Utilise on-desk research to identify prospective candidates through various online channels such as LinkedIn and through key influencer networks.
- Ensure inclusive search methodologies are embedded into every phase of the search process, underscoring the core commitment to diversity and equity.
- Lead on social media strategies, including collating and sharing relevant market information.
- Support the design of Tall Roots' marketing materials in collaboration with external marketing consultants, ensuring a compelling brand identity.

Person Specification
Experience:
- Previous experience as an Executive Assistant in a client-facing or customer service role, preferably within a professional services and/or charitable setting.
- Familiarity with executive search or recruitment processes is a plus but not essential.
Skills:
- Excellent written and verbal communication skills, with the ability to engage and communicate effectively with candidates, clients and colleagues.
- Strong interpersonal skills, capable of building relationships and maintaining professional rapport with diverse stakeholders.
- Proficiency in using various online platforms for research and communication, including LinkedIn and other social media.
- Strong knowledge of Microsoft Office applications, notably MS Word and Excel.
- Highly organised with the ability to manage multiple tasks, prioritise effectively, and meet deadlines.
